How to Test Xero Integration with The Portal Genie?

Test Instructions for The Portal Genie

1. Register and Connect Xero

  1. Register a new account on The Portal Genie this can be done using the sign up with Xero button or the normal registration form both of which can be found at this URL: https://app.theportalgenie.com/app/register?registerPage=true

  2. if your not using signup with Xero Connect your account to your Xero account when prompted. 

    Steps to connect to Xero

    When Registering a New Account

    1. When you register a new account and log in, you’ll be prompted to select your accounting software — Xero, QuickBooks, or Sage.

    2. Select the relevant software package.

    3. Click Next.

    4. Click Connect.

    5. You’ll then be prompted to log in to your chosen accounting software account.

    6. If you have multiple accounts or companies under the same profile, select the one you wish to integrate with and allow access.

    7. Once the connection is initiated, a banner will appear indicating that the integration is in progress.

    8. You’ll also receive an email notification once the process is complete.


    If you used the signup with Xero button or you skipped the integration steps during sign-up then:

    1. Go to Settings → Integrations.

    2. Select Connect on the relevant software package.

    3. Follow the same connection steps as described above.

    Note: In Xero, ensure that you have at least one contact and some documents for that contact like an Invoice, Quote, or Credit Note to pull through to The Portal Genie. This can be done before or after you integrate the account.

    Please make sure your contact has an active e-mail address and phone number so you can test the OTP login process.


2. Verify Synced Clients

  1. In the left hand menu navigate to Clients to view all your clients have synced from your Xero account and check that each client’s Contact Information is accurate in The Portal Genie.


    Update the contacts information on Xero to see that it updates on The Portal Genie.


3. Access the Client Portal

  1. In the left hand menu navigate to  Client Portal.
  2. Locate the Client Portal Link displayed at the top of the page and copy it, you can use the copy shortcut icon or copy and paste it.

  3. Paste the link into a web browser to initiate the One-Time Password (OTP) login process.

  4. Enter the Email Address or Phone Number associated with the test contact you created in Xero, then select Submit.

  5. An OTP will be sent to the provided email or mobile number (only if it matches an existing contact in Xero).

  6. Once received, enter the OTP to log in — the client portal will open successfully.


4. View Invoices on the client portal

  1. On desktop navigate to the left hand menu and on mobile navigate to the homepage.
  2. Select Invoices to view all invoices associated with the contact.

  3. Click the Eye (View) icon to open and preview an invoice.

  4. Click the Download icon to download the invoice.

  5. Click the Forward icon to forward the invoice as an email attachment.

    Note: On mobile you need to click into the invoice to find the download and forward buttons.

    To go further, go to Xero, edit the invoice, return to the portal refresh the browser and the invoice will have updated. 

5. View Statements

  1. Select Statements to view the client’s statement.

  2. Review the Account Balance and Ageing Table displayed on the bottom of the statement.


6. View Quotes and Credit Notes

  1. Select Quotes to view all client quotes.

  2. Select Credit Notes to view all credit notes associated with the client.
